Privacy Policy

MM Solutions Fleet ("MM Solutions Fleet", "we", "our", or "us") provides a workforce and fleet management platform and mobile application used by drivers, dispatchers, supervisors, and the companies that employ them. This Privacy Policy explains what information we collect through the platform and mobile app, how we use it, and the choices and rights you have.

The platform is operated on behalf of the company that provides it to you (your employer or the organization that engaged us, referred to here as the "Employer"). When you use the app as part of your work, your Employer controls and is responsible for the data collected about you. We process that data on the Employer's behalf and as described below.

1. Information We Collect

We collect the following categories of information, depending on how the platform is configured and used by your Employer:

  • Account and profile information — your name, email address, phone number, employee or worker identifier, job role, team or company assignment, and login credentials.
  • Location (GPS) information — your device's geographic location at clock-in and clock-out, and during active shifts, to support time tracking, dispatch, and fleet operations. Location is collected while you are on shift in accordance with your Employer's settings; it is not collected when you are clocked out unless required for an active assigned task.
  • Time and attendance data — clock-in/clock-out times, time entries, hours worked, breaks, and shift status.
  • Work schedule and dispatch data — assigned shifts, schedules, routes, tasks, and dispatch assignments.
  • Device and app information — device type, operating system and version, app version, device identifiers, language settings, and diagnostic, crash, and performance logs used to keep the app working reliably.
  • Workforce activity and monitoring data — where your Employer enables supervised work features, we may collect activity and productivity information related to assigned work, which can include application activity and, where configured, periodic screenshots or activity captures during working hours. The availability and scope of these features are controlled by your Employer.
  • Support and communications — information you provide when you contact support, report an issue, or otherwise communicate with us or your Employer through the platform.

2. How We Use Information

We use the information we collect to:

  • Provide workforce and time management, including recording work hours and attendance.
  • Support scheduling, dispatch, routing, and fleet operations.
  • Generate time and payroll records and operational reports for your Employer.
  • Enable supervision and oversight of assigned work where your Employer has enabled those features.
  • Provide customer and technical support and respond to your requests.
  • Maintain the security, integrity, and reliability of the platform, including detecting and preventing fraud, misuse, and unauthorized access.
  • Comply with applicable legal, regulatory, and contractual obligations.

3. How We Share Information

We do not sell your personal information. We share information only as follows:

  • With your Employer — the company that operates the platform for you receives the work-related information described above, including time entries, schedules, location during shifts, and any workforce activity or monitoring data they have enabled. Your Employer is responsible for how it uses this information.
  • With service providers — we use trusted vendors (for example, hosting, infrastructure, mapping, and communications providers) who process information on our behalf to operate the platform. They are permitted to use the information only to provide services to us.
  • For legal reasons — we may disclose information where required by law, regulation, legal process, or governmental request, or to protect the rights, safety, and security of users, the public, or our platform.
  • Business transfers — if we are involved in a merger, acquisition, or sale of assets, information may be transferred as part of that transaction, subject to this Privacy Policy.

4. Data Retention

We retain personal information for as long as needed to provide the platform, to comply with our legal and contractual obligations (including payroll and record-keeping requirements), to resolve disputes, and to enforce our agreements. Retention periods are determined together with your Employer based on the type of data and the purpose for which it was collected. When information is no longer needed, we delete it or de-identify it.

5. Data Security

We use industry-standard technical and organizational measures designed to protect personal information against unauthorized access, alteration, disclosure, loss, or destruction. These include encryption in transit, access controls, and monitoring. No method of transmission or storage is completely secure, so we cannot guarantee absolute security.

6. Your Rights and Choices

Depending on your location and applicable law, you may have the right to access, correct, update, or request deletion of your personal information, to object to or restrict certain processing, and to request a copy of your data. Because your Employer controls the data collected through your work account, many requests are handled together with your Employer. You may exercise your rights, or ask questions about them, by contacting us using the details in the "Contact Us" section below. We will respond consistent with applicable law.

You can also manage certain device permissions — such as location access — through your device settings, although disabling location may prevent shift, time-tracking, and dispatch features from working correctly.

7. Children's Privacy

The platform is intended for use by employed adults in a workforce setting. It is not directed to children, and we do not knowingly collect personal information from anyone under the age of 16 (or under 13 where applicable). If we learn that we have collected such information, we will take steps to delete it.

8. International Data Transfers

We may process and store information in countries other than the one in which you are located. Where we transfer personal information across borders, we take steps to ensure it receives an appropriate level of protection in accordance with applicable law.

9. Changes to This Policy

We may update this Privacy Policy from time to time. When we make material changes, we will update the "Effective date" above and, where appropriate, provide additional notice. Your continued use of the platform after an update means you accept the revised policy.
